The Grocery Product Coordinator and Administrative Coordinator are both full time (32-40 hr/wk) and start at $17.50 an hour. These positions are part of the Coordinator team and we are looking for dynamic, collaborative leaders with creative vision for the future of our co-op.

Administrative Coordinator - Job Description
Purpose: This position ensures smooth daily administrative operations of the business in collaboration with the Grocery Coordinators, Café Coordinators, Volunteer Coordinator and HR Specialist. The Administrative Coordinator will be in charge of day-to-day bookkeeping, processing payroll, on-boarding and off-boarding employees, keeping communication and accountability high among the coordinators, staff, and board, and a variety of other administrative and supportive duties. The Administrative Coordinator has the potential to be a dynamic, collaborative leader; we are seeking somebody with a creative vision for the future of the co-op.
Status: Full-time hourly management position. Reports to the Board of Directors. Member of the Worker’s Collective.
I. Bookkeeping / Finance
● Process invoices, make payments, enter expenses and deposits, and track receipts.
● Work with the accountant to complete monthly account reconciliations and run financial reports.
● Data entry for setting up vendors and clients in QuickBooks.
● Take the lead on preparing and depositing bank deposits.
● Act as the point person for budget creation and tracking from each department.
II. Personnel
● Process bi-weekly payroll for all employees and distribute paychecks/paystubs.
● Collect payroll data, timesheets, direct deposit information, tax forms, etc. and resolve and issues that arise.
● Complete on-boarding paperwork and processes for new hires.
● Complete off-boarding paperwork and processes for terminated employees, including final checks and unemployment information.
● Coordinate with HR Specialist in updating and keeping confidential records of new hires and maintain both hard and digital copies of employees' records.
● Assist HR Specialist with internal and external HR-related inquiries or requests.
● Provide administrative-related training to the Workers' Collective, Board, and staff as necessary.
● Support HR Specialist in updating the employee manual and other documentation as needed.
III. Operations
● Coordinate office operations and needs for supplies, maintenance, and technology.
● Analyze sales and work content to develop effective staffing and scheduling to meet productivity and operating standards in collaboration with the Coordinator team.
● Communicate Coordinator and staff requests to the Board of Directors and ensure that Board requests are addressed in a timely fashion. Speak to the Board from Coordinators and staff as “one voice”.
● Assist in planning and coordinating events with the Volunteer & Events Coordinator.
● Support annual General Membership Meeting and annual report creation in collaboration with the Board and Coordinator team.
● Enforce the Co-op’s policies and procedures.
● Be aware of the conditions of the Co-op; complete or make aware of tasks, maintenance, etc. that needs to be done.
● Participate in quarterly inventories.
● This position is expected to work in the Store and Café as needed (time should be evenly distributed between the two; minimum 8 hours (total) per month; maximum 8 hours per area per week).
IV. General Management Duties
● Oversee facility cleanliness and functionality in collaboration with the Coordinator team.
● Create monthly reports for the Board of Directors and attend monthly board meetings.
● Participate in weekly Workers’ Collective meetings and weekly Coordinator meetings.
● Collaborate with Coordinators to meet individual, department and shared goals, maintain
accountability, enforce Riverwest Co-op policies, and identify areas of improvement.
● Actively participate as a member of the Finance Committee and act as a liaison to the rest of management and staff.
● Coordinate with staff and Communications Committee to do regular postings on social media (regular content creation).
● Participation in hiring committees, as needed.
V. Customer Service
● Treat people fairly, consistently, and with respect, upholding the Co-op’s inclusivity statement.
● Answer questions and concerns of members, customers and volunteers.
● Address suggestions and complaints of members, customers and volunteers in a timely manner.
● Work well with people of a wide range of skills and personalities.
VI. Qualifications
● Effective administration and people management skills.
● Ability to utilize word processing, spreadsheets, database and accounting software (e.g. QuickBooks) effectively.
● Excellent written and verbal communication skills, especially when dealing with sensitive information and delicate situations.
● Fantastic organizational and time management skills.
● Strong decision-making and problem solving skills.
● Meticulous attention to detail.
● Ability to lift supplies and equipment weighing up to 25 pounds.
● Ability to track, count and handle money.
● Ability to act with integrity and confidentiality.
● Ability to work in a volunteer-based organization with collective management.
● Willingness to work with people of a wide range of skills and personalities.
● Eagerness to take ownership of a position requiring self-direction, reliability, creativity, and accountability.
VII. Preferred
● Communications, administrative and clerical experience.
● Knowledge of and experience in organizational finance and accounting.
● Experience managing others in a professional environment.
● Experience in conflict resolution and/or mediation.
● Experience in payroll processing.
● Knowledge of cooperatives, consensus decision making, and alternative economic structures.
VIII. Salary and Benefits
● Starting wage is $17.50/hour (equates to an annual salary of about ($33,280).
● Paid biweekly.

Grocery Product Coordinator: Job Description
Purpose: This is a full-time (up to 40 hours/week) position that ensures smooth daily store operations in collaboration with the Grocery Sales Coordinator. Both are responsible for the ordering, pricing, and budgeting of produce and all other inventory. The Grocery Product Coordinator has the potential to be a dynamic, collaborative leader; we are seeking somebody with a creative vision for the future of our co-op.
Status: Full-time hourly management position. Reports to the Board of Directors. Member of the Workers’ Collective.
I. Inventory Coordination
● Track all stock and place orders to replenish and keep store stocked ● Receive stock and unload trucks
● Check all deliveries against packing lists and invoices
● Lead quarterly store inventory
● Maintain and strengthen existing vendor relationships while continuing to seek out potential opportunities with new vendors
● Receive and incorporate customer requests for new stock items
● Stay apprised of trends in food and nutrition
● Support Grocery Sales Coordinator with:
○ Setting and controlling pricing and sales objectives, including tracking weekly sales metrics.
○ Developing a method for tracking inventory.
○ Discontinuing stock that has a poor sales record.
○ Developing an annual operating budget for the store.
II. General Management Duties
● Point person for hiring and training store staff, working with the Grocery Sales Coordinator for all hiring decisions and carrying out the training plan. ● Responsible for scheduling staff.
● Opens the store and ensures coverage for opening procedures on days off. ● Count register money and monitor change levels.
● Staff register when necessary (minimum 8 hours/week)
● Coordinate bank deposits with other managers
● Create monthly reports for the Board of Directors
● Participate in weekly Workers’ Collective meetings
● Collaborate with co-managers to meet individual department and shared goals, maintain accountability, enforce Riverwest Co-op policies, and identify areas of improvement.
